Full-Time Real Estate Admin



We are looking for a top notch real estate assistant to join our busy team. The successful candidate is an organized individual with a high attention to detail and the ability to multi-task in a fast-paced work environment.

Job Description:

  • Manage client database, inputting and maintaining all contact/client information into the client database system.
  • Maintain Team’s Task / Project Tracking Data Sheet
  • Lead generation tracking & lead follow-up.
  • Assisting Listing Agent and Buyer Agent’s with various tasks
  • Prepare CMA packages using InDesign.
  • Prepare Agreements of Purchase & Sale, Amendments and Waivers
  • Occasionally assist with preparation of listing agreements and broker loading listings to OMDREB and TREB
  • Deals administration / Oversee buyer and seller transactions from completed purchase agreement to closing.
  • Ensure all required paperwork is collected and documented in the online database (scan, label, organize paperwork).
  • Prepare trade record sheets and submit all necessary documentation to the office administrator, following up on any missing documents.
  • Contact and communicate with clients, lawyers, cooperating brokerages, etc., with regards to gathering or providing information for sales/purchases.
  • Track all CONDITIONAL dates, SOLD FIRM dates, and CLOSING dates.
  • Report sales on OMDREB, TREB & RAHB as required.
  • Various other administrative tasks including feedback calls, scanning, etc.

Qualifications:

  • Minimum of 2 Years of Real Estate Brokerage admin experience
  • College Diploma or University Degree preferred
  • Extremely accurate and detail oriented
  • Strong data entry and reporting skills
  • Experience with both TREB and OMDREB an asset
  • Good understanding of real estate listing and transaction processes and documentation.
  • Strong organizational skills and time management skills
  • Ability to work in a fast-paced environment, multi-task and prioritize work as necessary
  • Outstanding communication skills (written and verbal)
  • Excellent computer skills – Advanced MS Office skills including Power Point, Excel, Word & Outlook, and Knowledge of InDesign and Adobe Standard a definite asset
  • Motivated team player with a professional and positive attitude and high level of discretion and confidentiality
